Letter 1: Dear Ms. [Member Name Removed], We have received your concerns in reference to the $1,277.00 you paid us in May, 2017 and the phone quote we gave you yesterday to clean the ducts for $680.00 (the minimum charge for up to 18 vents this time of year) and a flat rate of $189.00 for "accessible" coil cleaning, totaling $869.00. The explanation for the difference in price is that there were other services needed and provided as part of our original quote which included a furnace maintenance, scoping of your ducts, condensate pump safety wired into the HVAC system and a non-certified air balance (these are clearly enumerated on our invoice of 5/3/17 #578271, attached.) I hope this clarifies the differences above. Customer service is very important to us and it would appear you have lost confidence in us, so for that reason we think it is best if we withdraw our furnace proposals previously put forth. If you go to the Lennox and/or Goodman respective websites they will have dealer locator listings of other HVAC firms that service your area. Based on your response you are still not factoring in the other work that was done (see the itemized list previously included.) I am told your coil was clogged due to construction and your ducts had drywall dust, etc… The furnace short cycling does not cause dust/debris, so your comment makes no sense. You have to go one step at a time, ie, start with a clean coil, furnace and ducts and eliminate them as potential issues. You received a very good value for what you paid. I believe the area served by the existing furnace was increased by the finishing of the apartment in the lower level. You previously declined the recommended Manual J (load calculation) from the service call in April as indicated on your signed service ticket. My advice, when replacing your existing furnace, is to have that company perform a Manual J load calculation to size the new furnace to include the additional square footage added. Sincerely, Lionel Boulin Letter 3: Dear Ms. [Member Name Removed], Thank you so much for taking the time to respond so that I may try again to clarify things for you. On 4/28/2017 you signed a detailed written “contract” for $1,277. In this contract it enumerates (5) itemized items we will do for that amount, which all were fulfilled. In addition to the list, while there, we also wired in the pre-existing condensate pump at no additional charge. As you know, we charge $680 to do a basic one zone duct cleaning. ($1277 - $680 = $597 balance left). We then gave you a package discounted price (not “excessive”) on the remaining items. I say this because our flat rate book quotes a coil cleaning (by itself) at $297. A standalone Furnace cleaning (not part of duct cleaning), depending on the condition, average about ¾ of an hour ($110 + $45 = $155). To come and do a non-certified air balance typically runs about $250 per zone (not totaling $869 as you state). Although we did not charge additional, as previously mentioned, it is always best practice to wire in a condensate pump so that in the event a condensate pump clogs/overflows it can kill the power to the A/C so it doesn’t continue to produce water possibly causing more water damage. So I hope you understand better now why we can’t refund you money 7 months after the fact for work that was performed and agreed to in writing, beforehand. Additionally, in reference to your email, please find enclosed a copy of the original service ticket invoice #578459 that you signed prior to any of the above work, whereby our technician recommended you have a “Manual J” done (heat load sizing calculation, does not state that your furnace size was completely fine with included space) which you declined. This load/recommendation contradicts your statement that we told you your furnace size was completely fine. He also notated that there was heavy accumulation on the plugged indoor evaporator coil and duct system, not “steered” you toward it. This work was necessary regardless if you purchased a new furnace now or later. I assume from a prior recent renovation most likely the furnace and A/C blower was running during this construction process causing drywall dust to be drawn in to the ducts and the furnace. You may want to try and go back to the contractor to see if he will credit you some money toward the needed duct and coil cleaning. You told our representative over the phone that your furnace was “short cycling”. This statement indicates the opposite condition, i.e. an oversized furnace! Regardless, with airflow/comfort issues you first must get things to operational standards (manufacturer’s specs). Your indoor evaporator coil was clogged, possibly from construction work, so the first place to start to remedy/evaluate comfort/air flow issues, is to clean the indoor coil so the furnace blower can have an unobstructed path to move the air through the duct distribution system, which was done. You also told our representative you had your basement finished. Now that you have the benefit and knowledge of the aforementioned work outcomes, it is not fair to us for you to want to go back in time. In summation, the ducts, coil, balancing, filter and safety wiring for potential overflow were all done and needed regardless of; if/or/when you replace your furnace. I believe I have addressed all of your concerns, and supported all of the pre-approved work given in writing, you authorized. In reviewing our original contract I don’t see how we could have been more transparent. In my last correspondence, I itemized what we did and asked her to substantiate her claim that our prices were high based on “her research.” To this day, she has not. It is my opinion, that once she had the benefit of our work, Ms. [Member Name Removed] apparently wanted to go in a different direction and changed her mind in the work she had previously committed to after it was completed. We did what we said we would in writing, for the price we quoted. Therefore, we don’t feel her complaint has any merit.
