Dear [member name removed], We’re very sorry that we weren’t able to meet your needs and that you have chosen another landscape company. Our designer had been working with you since last year and had submitted three separate proposals to you in August of 2014, February of 2015, and March of 2015, each one making your requested changes. The conceptual drawing he did for you along with these proposals was to give you a general idea of the project and usually isn’t sufficient for an HOA submittal. A more detailed drawing, which can take a considerable amount of time, is supplied once a contract has been signed and a deposit received. We work with homeowner’s associations on a regular basis as I’m certain our designer discussed with you, and our drawings and designs almost always pass the architectural committee’s inspection. On occasion, the committee will ask for a change and we’re always more than happy to make the changes (with the homeowner’s approval) and correct drawings as necessary. Unfortunately, we have had a few bad experiences where, despite all of the time spent with a client, they’ve taken our drawings and designs and used them with another landscape company. Because of this, our policy is to complete the more extensive and detailed drawing for the HOA once the contract is signed and the deposit received. You mentioned that you had paid a few hundred dollars for a drawing, and I want to let you know that we don’t charge for the drawing, it’s a part of your contract. We did drop the ball by not responding to your last email of 4/3/15, and for that we greatly apologize, as there are some ways we could have accommodated your concerns about the deposit. Unfortunately, our designer was dealing with a health issue that week and didn’t get the opportunity to answer you. And, while it shouldn’t be up to you to follow up with a phone call, I’m certain that we would have resolved the issue for you had you taken a moment to call.
