Responsibilities - Answer and direct incoming phone calls, emails, conference calls - Schedule appointments and maintain CEO, President, COO calendar - Plan meetings, handle all logistics and take meeting minutes - Make travel arrangements and manage expense reports - Update and maintain office policies and procedures - Create and distribute emails, communications and letters - Accounts receivable, maintain the office files and be highly organized - Create and maintain reports, forms and spreadsheets - Develop and maintain a records/filing system - Order office supplies and research new suppliers - Assist in resolving any administrative problems Requirements - Experience as an administrative assistant, virtual assistant or office admin assistant - Knowledge of office management processes and procedures - Expertise in MS Office (Word, Excel, and PowerPoint) - Proven time management skills and the ability to prioritize work - Excellent written and verbal communication skills - Strong problem-solving skills and research skills - Advanced organizational skills, ability to multi-task and attention to detail - Knowledge of operating standard office equipment -Mac Apple proficient, savvy
